The following tools for formatting the inspection report are available under INSPECTEXPRESS™ on the main menu and toolbar. (See Program Settings for more information on other report formatting features.) Many of these options are also available as inserts on the Start New Inspection form that appears when you begin the report wizard (Start New Inspection on the menu).
Insert Template - Inserts a MS Word document template into the report at the cursor position. The user will be prompted to select a document from the 'Templates\' directory in the current INSPECTEXPRESS™ program path.
Report Cover - Inserts the default report cover into the beginning of the current document ('Templates\Cover.doc' in the current INSPECTEXPRESS™ program directory).
Table of Contents - Inserts the table of contents at the cursor position on the document unless the 'Insert Table of Contents Here' heading was written using the Start New Inspection form. The font and style for the table of contents are set on the Styles tab of the General Information and Program Settings form accessed from Options Settings on the main menu. If you wish the table of contents to include the heading numbers for each section, add the heading numbers to the report prior to adding the table of contents.
Purpose and Scope - Inserts the 'Purpose' disclaimer from the currently selected 'Disclaimer Type' selected on the Disclaimer tab of the General Information and Program Settings form accessed from Options Settings on the main menu. The section is inserted the cursor position on the document unless the 'Insert Purpose and Scope Here' heading was written using the Start New Inspection form.
Exclusions and Limitations - Inserts the 'Exclusions' disclaimer from the currently selected 'Disclaimer Type' selected on the Disclaimer tab of the General Information and Program Settings form accessed from Options Settings on the main menu. The section is inserted the cursor position on the document unless the 'Insert Exclusions and Limitations Here' heading was written using the Start New Inspection form.
Closing Regards - Adds a closing signature to the inspection report. The Company Name, Company Phone and Inspector Name for the closing signature is set on the Inspector tab of the General Information and Program Settings form. The section is inserted the cursor position on the document unless the 'Insert Closing Regards Here' heading was written using the Start New Inspection form.
Standard of Practice - Inserts the default Standard of Practice into the current document ('Standards\Standards.doc' in the current INSPECTEXPRESS™ program directory). The user will be prompted to insert the standards at either the cursor position or at the end of the document unless the 'Insert Standards Here' heading was written using the Start New Inspection form.
Inspection Worksheets - Inserts the inspection worksheet into the current document ('Worksheets\Worksheet.doc' in the current INSPECTEXPRESS™ program directory).
Word Wrap File Image - Adds an image that has already been saved to a local or network drive to the inspection report. The borders and shadows that are added with the image are defaults that are set on the Image tab of the General Information and Program Settings form accessed from Options Settings on the main menu. (See Adding Images to the Report for more info.)
Cover File Image - Adds an image that has already been saved to a local or network drive to the current report cover of the inspection report. You must first have added the report cover page as the image that you will insert will be centered on the first page of the report.
Inline File Image - Adds an image that has already been saved to a local or network drive to the inspection report. No formatting is added.
Photo Editor Image - Adds an image to the inspection report directly from your digital camera or scanner when Microsoft Photo Editor is installed. No resizing or formatting is completed when adding images from the Photo Editor. To format these images, select the appropriate style from the Format Selected Image menu (See Adding Images to the Report for more info.)
Insert Table of Contents - Inserts the table of contents at the cursor position on the document. The font and style for the table of contents are set on the Styles tab of the General Information and Program Settings form accessed from Options Settings on the main menu. If you wish the table of contents to include the heading numbers for each section, add the heading numbers to the report prior to adding the table of contents.
Update TOC Headings - Updates an existing Table of Contents to include any new headings that have been added to the current inspection report. Also updates the page numbers on the existing Table of Contents.
Update TOC Page Numbers - Updates the page numbers on an existing table of contents page included in your completed inspection report. It is recommended that this be done after any images have been added to the report as the images may have affected the original formatting.
Insert Observation at Cursor - Insert an observation at the cursor point. (Read Inserting Observations into a Document for more information on this topic).
Highlight Selected Paragraph - Apply a highlight to the selected paragraph. You will be prompted to select a caption/style.
Find - Replace Place Holders - Edit the placeholder symbols that were written to the document. Cycles through the document to locate all placeholder symbols.
Apply Headers and Footers - Adds headers and footers to the document according to the defaults set on the Header tab of the General Information and Program Settings form accessed from Options Settings on the main menu. Defaults can include page numbers, report address, number, date and a user-defined comment.
Number Heading 1 - Adds headings numbers to all text in the document set to Heading1 font. By default this includes all section titles (General Information, Structure etc.). If you wish the table of contents to include the heading numbers for each section, add the heading numbers to the report prior to adding the table of contents.
Number Heading 2 - Adds headings numbers to all text in the document set to Heading2 font. By default this includes the summary document sub-headings and component description sub-headings (partial narrative format only). If you wish the table of contents to include the heading numbers for each section, add the heading numbers to the report prior to adding the table of contents.
Remove All Heading Numbers - Removes any previously formatted heading numbers from the document.
Word Wrap Style - Add borders, word wrap and resize the selected image according to the defaults that are set on the Image tab of the General Information and Program Settings form accessed from Options Settings on the main menu. (See Adding Images to the Report for more info.)
Report Cover Image - Resize, add borders and position the selected on the cover page already added to the document.
Inline Image Style - Resize the selected image and convert it to an Inline Shape, no further formatting will be applied.
Image Size Settings -> Word Wrap Width - Set the default image width for inserting word wrapped images.
Image Size Settings -> Report Cover Width - Set the default image width for the images inserted on the report cover.
Image Size Settings -> Inline Width or Height - Set the default image width or height for inserting unformatted images.
Arrow - Selecting the Arrow tool allows an arrow to be drawn on the current inspection report. After clicking on this menu item, you will be able to draw an arrow at any location on the page by clicking on the page at the location where you wish the arrow to start with the left mouse button and moving the mouse while holding the button down.
Rectangle - Selecting the Rectangle tool allows a rectangle to be drawn on the current inspection report. After clicking on this menu item, you will be able to draw a rectangle at any location on the page by clicking on the page at the location where you wish the rectangle to start with the left mouse button and moving the mouse while holding the button down.
Oval - Selecting the Oval tool allows an oval to be drawn on the current inspection report. After clicking on this menu item, you will be able to draw an oval at any location on the page by clicking on the page at the location where you wish the oval to start with the left mouse button and moving the mouse while holding the button down.
Textbox - Selecting the Textbox tool allows a textbox to be drawn on the current inspection report. After clicking on this menu item, you will be able to draw the textbox at any location on the page by clicking on the page at the location where you wish the textbox to start with the left mouse button and moving the mouse while holding the button down. Once the textbox has been drawn, you can add any text you wish by typing directly into the box. To edit this text at any time, simply select the textbox by clicking on it. The textbox can also be resized by dragging the sides or corners of the textbox while it is selected.
